How to Create a Recurring Invoice

This guide explains how to set up automated recurring invoices, customize their schedule (e.g., specific days of the month), and manage them after they become active.

1. Initial Setup

  1. Click Create Invoice.
  2. Check the box labeled Make invoice recurring.

2. Configuring the Schedule

The scheduling system is designed to be highly flexible. You can configure when the invoice sends and when it stops.

  • Frequency: Choose between Daily, Weekly, or Monthly.
  • Timing: Select specific criteria, such as:
    • The 1st of every month.
    • The 4th of every month.
    • Specific days (e.g., the Last Monday of the month).
  • Start Date: Select the calendar date for the first invoice.
  • End Condition: Choose to end after a specific date or a set number of occurrences (e.g., End after 5 times).
Scheduling Logic

The system determines the first send date based on your selection relative to today's date:

  • Future Date: If you select the 1st and today is the 4th, the invoice will send on the 1st of next month.
  • Same Day (Immediate Send): If you select the 4th and today is the 4th, the first invoice will send today.

3. Adding Content and Recipient

This process is identical to creating a standard invoice.

  1. Select your Recipient (e.g., James Smith).
  2. Add your Line Items and set the Rate (e.g., $200).
  3. Review the invoice details.

4. Scheduling the Invoice

  1. Click Preview.
  2. Click the Schedule button (Note: this replaces the standard "Send" button).
  3. Select your delivery method (e.g., Send via Email).

5. Managing Recurring Invoices

Once scheduled, the system redirects you to the Recurring Invoices tab. From here, you can:

  • View History: See a log of generated invoices and their payment status.
  • View Details: Click into specific invoices to see what was sent.
  • Stop Recurrence: Click the Stop button to cancel future automated invoices immediately.
Status Tracking

The activity log will track every instance of the recurring invoice, allowing you to see exactly when they are sent and viewed by the client.
