How to Create an Invoice
This guide covers how to generate a new invoice, personalize it with dynamic customer data, send it via Email or SMS, and track when the client views it.

1. Creating a New Invoice
- Navigate to the left-hand menu and click Invoices.
- Select All Invoices.
- Click the Create a new invoice button.
- Choose your settings:
- Frequency: Select One-time or Recurring.
- Template: Choose a custom template or use the Default Template.
- Select the Recipient (e.g., James Smith) from your contact list.
2. Editing Line Items
The default template includes a standard item table.
- Add a Table: If needed, drag a table element from the left sidebar into the invoice editor.
- Edit Items: Click on the item row to edit the description (e.g., "Test Item"), Rate (e.g., $200), and Tax amount.
3. Personalizing with Dynamic Data
You can use Dynamic Data to automatically insert client details (like their first name) into the invoice.
- Click into a text block (e.g., type "Hello").
- Click the Lightning Bolt icon ⚡.
- Select the data field you want to insert (e.g., Recipient First Name).
Pro Tip
- In Text Blocks: You can type text before and after the dynamic tag (e.g., "Hello [Name], here is your invoice").
- In Dynamic Data Fields: If you insert dynamic data into a strict data field, you cannot add extra text around it.
4. Previewing and Sending
Before sending, it is best practice to rename your invoice for internal tracking (e.g., "Demo Invoice").
- Click Preview and Send. This hides the editing tools so you can see exactly how the dynamic data renders for the client.
- Choose your delivery method:
- Send via Email
- Send via SMS
5. Tracking Invoice Views
Once sent, the system automatically tracks the status of the invoice.
- Go back to the Invoice Dashboard or refresh the specific invoice page.
- Look at the Activity Log on the right side.
- When the client opens the link, the status will update to Viewed, allowing you to confirm receipt.
